Rockfarm School of Music required a custom digital workspace to coordinate its school management processes. This app brings class schedules, student billing, financial reports, and parent messaging into one simple mobile application.
Instead of using a generic online checklist that didn't fit the unique lesson schedules of a music school, we built a custom app that matches the real daily routines of the school managers, teachers, and students.
02 / The Problem
Prior to development, Rockfarm relied on manual worksheets and disconnected ledger books to coordinate school operations. This analog structure created several critical inefficiencies:
- Fragmented Records: Student details, class timings, and billing cycles were saved in separate spreadsheets, leading to mistakes and duplicate records.
- Manual Billing Cycles: Creating invoices for students who pay on different schedules (like monthly or every 3 months) had to be done by hand, which led to calculation mistakes.
- Reminders Lag: Making PDF receipts and sending parent reminder texts on WhatsApp was done manually, taking up hours of staff time every day.
03 / The Solution
We created a central mobile application connected to secure cloud storage. The app handles student profiles, attendance, billing setups, automatic receipt generation, and WhatsApp notifications.

Provides active, inactive, and archived directories with restore states via Recycle Bin. Advanced course filtering and alphabetized index scrolling ensure swift name lookups.
Attendance System
Instantly log Present, Absent, or Unmarked sessions. Supports customized overrides for public holidays, dedicated theory class alignments, and weekend sessions.
Financial Management
Supports multiple billing intervals (monthly, quarterly, half-yearly, and annual), applying discounts, preserving payment transactions, and auditing past payment records.
Smart Fee Engine
Validates active billing cycles, computing overdue balances, generating ledger logs automatically, and securing transaction integrity checks.
Reporting Engine
Generates detailed attendance summaries, cashflow logs, student ledger reports, and outputs clean PDF sheets for printing and audits.
WhatsApp Automation
Parses transaction balances, converts numerical payment values into structured currency text arrays, and auto-dispatches digital receipt templates directly to WhatsApp clients.
07 / Key Challenges
Challenge 1: Handling Different Billing Calendars
Creating a billing system that handles different payment dates (monthly, every 3 months, or yearly) without creating calculation errors.
Solution: We built an automatic balancer that checks payment dates using a standard internet clock. It separates past payments from current setups so that changing lesson rates won't alter past payment history.
Challenge 2: Automatic Data Repair on Startup
To solve upload issues that happen when the phone network is weak, we built an automatic scanner that runs whenever the app is opened.
Solution: Whenever the app starts up, it automatically scans for missing payment records, corrects sorting lists, and repairs incomplete cloud files without slowing down or freezing the app.

RF-Attendance is actively running today as the core operational software product at Rockfarm School of Music. It demonstrates the direct value of custom product thinking—taking complex, manual scheduling and ledger processes and packing them into an interface that is extremely intuitive, stable, and fast.
